Making Insurance Certificate Requests Easier for Tenants

An insurance certificate request is a small part of a tenant’s relationship with a property team, but it can involve several people and repeated messages. Clear instructions help the tenant understand what is needed and get the right person involved.

Start with the questions a tenant is likely to have: which property the request concerns, what to submit, where to send it, and who can answer a question.

    Make the first request complete

Identify the tenant and property, provide the requirements that apply, and include the submission route. If there is a deadline, state it clearly. Use a recognizable sender so the tenant can understand why the request arrived.

Avoid assuming that the recipient is the person who manages insurance. Explain how they can involve their broker or the appropriate contact within their organization.

Let the broker join the process

VerifyCOI provides an upload link that a tenant can forward to their broker. This gives the person supplying the document a direct submission route and reduces the need for the tenant to relay files between several email threads.

Make sure follow-up messages still identify the property and the item being discussed. A broker may be handling documents for several clients, so context matters on every exchange.

    Give specific feedback

If a submission needs attention, describe the item that needs review. “Please update your certificate” is less helpful than identifying the date, limit, or missing information that prompted the request.

    • Reference the relevant submission.
    • Describe what needs clarification or an update.
    • Explain where the response should be sent.
    • Provide a contact for questions about the requirement.

Keep the wording factual. The purpose of the message is to help resolve the item, and the recipient may need to pass it to someone else.

Use reminders with a clear follow-up process

Automated reminders can help a team request updated certificates before the recorded expiration date. Configure the timing around the property’s process and identify who follows up on unanswered requests.

When an updated document arrives, review it and keep the status current. A reminder requests action; it does not complete the renewal or resolve a flagged item on its own.

Improve the instructions from repeated questions

Look at the questions tenants and brokers ask most often. If people repeatedly submit against the wrong property or ask where to upload a correction, improve the original message or submission instructions.

A clearer process gives everyone a shared understanding of what remains outstanding. VerifyCOI supports the collection and review steps; thoughtful communication helps the people involved complete them.
