Write a Building Notice Tenants Can Actually Use

Caret conversations keep a building notice and the tenant’s questions in the same place.

A tenant opens a building notice while walking into a meeting. They need to know whether it affects their day. If the first paragraph is about your commitment to service excellence, the useful information is still too far away.

A good notice answers a few ordinary questions quickly: what is happening, where, when, what changes for the reader, and what they should do. You can be warm without making the reader search for the point.

Put the disruption in the subject

“Important building update” gives every message the same level of importance. “West entrance closed Thursday morning” helps the reader decide whether to open it now. Include the date when the notice may be forwarded or saved for later.

Use the name tenants see on the building signage. An internal label such as “Access point B” is little help to someone who knows it as the entrance beside the coffee shop.

Give the reader a usable alternative

A closure notice is incomplete if it only says what people cannot do. Explain the alternative route or arrangement, and confirm that it is actually available during the stated hours. Check the instructions with the people managing reception, deliveries, and access.

For a routine planned closure, a notice might look like this:

Subject: West entrance closed September 17, 8:00 to 11:00 a.m.

The west entrance beside the coffee shop will be closed on September 17 from 8:00 to 11:00 a.m. while the entrance flooring is repaired.

Please use the main entrance on First Street during this time. Reception will be available there to assist visitors. If you have a delivery scheduled for the west entrance, contact the property team before September 17 so we can confirm an alternative arrangement.

We expect the entrance to reopen at 11:00 a.m. We will send a confirmation when it is open, or an update by 10:30 a.m. if the work is delayed.

Please reply to this message with questions about your visit or delivery.

This is an example to adapt after confirming the actual route, staffing, and work schedule. The useful detail is the next update time. Tenants know when they will hear more even if the repair takes longer than expected.

Write for the person receiving the forwarded copy

Office administrators often pass notices to colleagues. Include the property name and enough location detail for the message to make sense outside the original thread. Avoid “tomorrow” if the message may be read on a different day. State the date and, where needed, the local time zone.

Keep essential instructions in the message itself. An attachment can provide a map or more detail, but opening a PDF should not be necessary to learn that an entrance is closed.

    Decide who needs it

Send the notice to the people affected, then consider who supports them. An entrance closure may matter to reception and delivery contacts as well as tenants. A change affecting one floor may not warrant a message to every building in the portfolio.

Caret supports property communication and tenant conversations. Before sending, check the selected property and audience as carefully as the words. A well written notice delivered to the wrong group still creates confusion.

Close the loop when the work ends

Send the reopening confirmation you promised. If the plan changes, state what is different at the top of the update. Keep the relevant history together so a colleague can answer a tenant’s question without searching several channels.

Afterward, look at the questions people asked. If several tenants needed the same clarification, put that detail into the next notice. The best template is the one your building’s experience keeps improving.
